Where AI Fits in Your Ecommerce Workflow

Start with a recurring task you understand. Give AI a bounded job, keep the evidence available, and measure the whole process—including checking and corrections.

Start with the work you want to improve

“Use more AI” is difficult to act on. “Produce an accurate first draft of a product page from our approved fact sheet” is a task you can test. The second version defines the input, the output and the person who can decide whether it is ready.

Look for work that happens regularly and has a visible finish line: summarizing customer questions, preparing a weekly review, drafting an email, or organizing product information. Choose a small example where you can compare the current process with the proposed one.

The AI workflow planner covers eight stages of running a store. Select the relevant stages, add a short description of your goal, and download a plan with prompts and review steps. It creates a planning template; it does not connect to your store or run an AI model.

Match the method to the job

A fixed condition usually needs a rule. If available stock falls below a verified threshold, a rule can notify the owner. A calculation needs a consistent formula. AI becomes useful when you need to interpret language, organize messy evidence or produce a draft that someone will review.

For example, a spreadsheet can calculate your reorder point. An assistant can summarize which SKUs need attention and identify assumptions you should check. The store owner still verifies supplier timing, quantity and cash before approving a purchase.

A product-page workflow you can try

  1. Prepare: collect measured dimensions, materials, compatibility, care instructions and common customer questions in one approved fact sheet.
  2. Draft: ask the assistant to create a description and FAQs using only those facts, with missing information listed separately.
  3. Review: verify each claim, remove unsupported benefits and check that the language helps someone choose the right option.
  4. Preview: inspect the page on mobile, including variant selection, images and delivery information.
  5. Measure: record total preparation and review time, factual corrections, customer questions and return reasons after release.

Shopify's guidance says merchants remain responsible for the accuracy of generated product descriptions. That makes the approved fact sheet and review step part of the workflow, not optional work to add if something goes wrong.

Use customer information deliberately

A weekly summary often needs aggregate counts rather than individual customer records. A support-drafting exercise can use a redacted question and an approved policy. Give the assistant only the information needed for the task, using tools approved for that information.

Keep source material separate from instructions. A customer message, review or imported document may contain text that looks like a command. Instruct the assistant to treat it as evidence to analyze, and verify the result before using it.

Make the handoff explicit

“Draft a reply” and “send a reply” are different steps. Name the person who verifies the order facts and approves the response. Apply the same distinction to publishing a page, changing a price, launching an email flow or placing a supplier order.

Measure time after checking, not before

A hypothetical task takes 15 minutes manually. The assisted version takes four minutes to prepare and handle, three to review, and an average of one more minute for rework. At 20 runs each week, with ten minutes of weekly upkeep, the model saves 130 minutes per week. Four hours of initial setup would take about 1.85 weeks to recover in time if those assumptions hold.

Those numbers are an illustration, not a promised result. Use the AI time-savings calculator with a measured pilot, and keep quality comparable. Available time is not automatically payroll savings or additional revenue.

Choose one workflow for this week

Pick the task, gather approved inputs, assign the reviewer and decide what a useful outcome looks like. Run a small pilot. If the output is inaccurate or the review takes longer than the original work, improve the input or narrow the task before expanding.
